Executive Assistant to the CEO

AdsWizz is looking for a rock star Executive Assistant to support our super busy CEO.

As the resident logistics and operations guru, you’ll be a master-problem solver, ready to tackle issues before they arise. You are a top-notch communicator and are skilled at building strong relationships with multiple stakeholders. You have a knack for understanding the pulse of the team, being able to anticipate operational cycles and needs of individuals before they arise. You thrive in a role where you own processes end to end without micromanagement. You have exceptional business judgement, spotting gaps and seeing around corners to address problems and continuously scale and optimize processes. Your special power is being able to see the big picture while having the insane attention to detail to execute.

 

You Will

  • Be a fierce gatekeeper for your CEO
  • Think strategically about, and optimize the CEO’s complex and dynamic schedule. This includes coordinating with both internal and external parties
  • Manage special projects and assignments on-demand, navigating ambiguity with aplomb
  • Arrange domestic and international travel
  • Prepare monthly expense reports
  • Plan and coordinate company-wide meetings including agenda and content creation
  • Plan special team events including regular exec off-sites
  • Serve as a liaison for the CEO to other individuals, teams and departments
  • Provide operational process support including but not limited to recruiting and HR operations
  • Act as office manager for AdsWizz HQ in San Mateo

 

 

You Have

  • An entrepreneurial spirit, willing to do whatever it takes to get it done with flexibility and grace
  • An awesome sense of humor
  • Insane organizational skills with time-management down to a tee
  • Outstanding writing and communication skills
  • Tech savvy and a passion for start ups
  • The ability to hold a high degree of confidentiality and discretion
  • 4-6 years of experience with making the impossible happen (e.g. executive admin support, complex logistics management, etc)
  • Desire to hit the ground running and own reoccurring processes
  • Strong people skills and a proven record of building and maintaining successful relationships
  • A./B.S. from 4 year or relevant experience
  • Expert, Guru-like knowledge of Outlook and MS Office Tools
